Privacy Policy

1. Who this covers

Beyond the Itinerary is operated by Atsushi Ishihara, based in Saitama, Japan. I am the data controller for the information described here.

This policy covers everyone who contacts me: guests booking private guiding, and companies enquiring about research or advisory work.

2. What I collect

If you are enquiring about guiding
Your name, email address, and phone number. What you are interested in, your walking or cycling ability, and any dietary restrictions or allergies. Billing details, handled by the payment provider — I do not store card numbers.

If you are enquiring about research or advisory work
Your name, work email address, your company name, and the kind of work you are asking about. Whatever you choose to put in your message.

Automatically, when you visit the site
Standard server and analytics data — pages viewed, approximate location, browser and device type. This is not linked to your name.

3. Why I hold it, and on what basis

To answer your enquiry and to carry out work you commission. Where we have an agreement, the basis is performance of that contract. Where you have only made an enquiry, the basis is my legitimate interest in responding to it.

Dietary restrictions and allergies are health information. I ask for them only to keep you safe on a tour, I use them for nothing else, and I hold them on the basis of your explicit consent. You can withdraw that consent at any time, though I may then be unable to arrange meals safely.

4. Who else sees it

I do not sell or trade your information. It is seen by:

  • Squarespace, which hosts this website and receives what you submit through the contact forms.

  • Google, because mail sent to trade@beyond-the-itinerary.com is forwarded to a Gmail account that I control.

  • Payment providers — PayPal or Wise — when you pay for guiding.

  • Accommodation, restaurants and other suppliers, but only the details needed to make a reservation for you, and only for guiding work. For research and advisory work I make no bookings, so nothing about you goes to any supplier.

  • Emergency medical services, if that ever becomes necessary during a tour.

5. Where it is held

I am in Japan. Squarespace and Google hold data on servers in the United States. If you are in the United Kingdom or the European Economic Area, this means your information is transferred outside your region. Those transfers rely on the standard contractual protections those providers have in place.

6. How long I keep it

Enquiries that do not lead to work: twelve months, then deleted.
Guiding bookings: five years after the tour, for accounting and tax records.
Research and advisory assignments: seven years after the assignment, for the same reason, together with the report I issued.

7. Your rights

You can ask me for a copy of what I hold about you, ask me to correct it, ask me to delete it, or object to my holding it. Write to trade@beyond-the-itinerary.com or use the contact form. I will answer within thirty days.

If you are in the UK or the EEA and you are not satisfied with how I have handled your data, you have the right to complain to your national supervisory authority.

8. Cookies and analytics

This site uses cookies that are necessary for it to work, and Google Analytics to count visits and see which pages are read. Analytics data is aggregated and does not identify you. You can block cookies in your browser; the site will still work.

9. Changes

If I change this policy I will change the date at the top. If the change is significant and I hold your details, I will tell you.
